This policy explains what personal information Emberline Retreat collects, why we collect it, who helps us handle it and the rights you have under the Protection of Personal Information Act 4 of 2013 (POPIA).
1.Who we are
Emberline Retreat is a trading name of OHL Holdings (Pty) Ltd, registration number 2025/150104/07, of 107 Three Fountain Road, Cape Farms, Cape Town, Western Cape, South Africa. We are responsible for the personal information described here. You can reach our Information Officer at info@emberline-retreat.com.
2.What we collect
When you book a stay, we collect your name, email address and phone number (optional), the stay you choose, the delivery address and country for the box, and the note for the letter if you write one. If the stay is a gift, we also collect the recipient's name for the certificate and the founders' wall.
When you use the contact form, we collect your name, email address, phone number (optional), the topic you choose and your message.
When you sign up for Emberline letters, we collect your email address and your choice to subscribe.
If you give us someone else's details, for example the person receiving a gift, please make sure they are happy for you to share them.
3.Why we use it
- To complete your booking and send your Founding Guest box.
- To reply to messages you send us.
- To send Emberline letters, only to people who have subscribed. You can unsubscribe at any time by writing to us.
4.Who helps us
We share personal information only with the service providers who need it to do their part:
- Paystack processes payments. You enter your card details on Paystack's page, and we never see your card number.
- Wix hosts this website and handles our forms and contact records.
- Vercel runs the server that connects our checkout to Paystack.
- Cloudflare Web Analytics counts page visits for us. It uses no cookies and does not identify you.
- A courier delivers your Founding Guest box, using your name and delivery address.
5.Information stored outside South Africa
Some of these service providers may store personal information on servers outside South Africa. We share with each one only what it needs to provide its service.
6.How long we keep it
We keep personal information only for as long as we need it for the purposes in section 3, and for as long as the law requires us to keep records of payments. We keep your email address for letters until you unsubscribe.
7.Keeping it safe
This website and the payment pages use encrypted connections. Card payments are handled by Paystack, so card details never reach us.
8.Your rights
Under POPIA you have the right to:
- ask what personal information we hold about you, and see it
- ask us to correct it
- ask us to delete it
- object to us using it
- complain to the Information Regulator of South Africa (inforegulator.org.za)
To use any of these rights, write to our Information Officer at the address in section 10.
9.Cookies
This website uses only the cookies that Wix and Paystack need to run the site and take payments. We do not use advertising or tracking cookies.
